Fearless Facilitator Ltd takes data protection responsibilities very seriously. Your privacy and security are important to us, so we’ve developed this privacy policy to explain how we collect, use, disclose, transfer and store your information.

How we collect and use personal data
Most personal information is provided directly and voluntarily by you when you engage with us to enquire about, or purchase, our services, or products. We will collect information from you when:
- You sign up to our newsletter or mailing list,
- You download an opt-in,
- You purchase a product through our website,
- You join a course or programme we are running,
- You contact us for information via our website or social media channels, by phone or email,
- You post on our social media channels, website, or blog,
- You work with us in a commercial capacity, this can be your organisation hiring us to work with you individually or as part of a team or you have directly engaged with our services individually,

- Allow us to process a booking for a product or service which you purchase from us,
- Create a profile for you on our client database,
- Send you our newsletters and/or provide you with information, products, or services that you request from us or which we feel may interest you, where you have consented to be contacted for such purposes,

We will not sell or lend your personal data to third parties or share your personal data for marketing purposes without your express consent. We will only share your personal data with third party service providers where it is necessary for the delivery of our products or services, and only where we are confident that and such third party service providers have appropriate data protection systems and measures in place that are compliant with UK Data Protection Legislation. We will not give consent to third party service providers or platforms to use your information, including audio and video recordings, for purposes, other than those for which the information was collected and which are necessary for the delivery of our products and services. We will not put your personal information into AI assistive technology where that involves using a third party such as Anthropic (Claude) or Open AI (ChatGPT). We may use our own internal software which has AI technology built into it, but that already securely stores your data. We will not use AI assistants to manage, organise, process, or reply to any emails within our mailbox. All emails are read, reviewed, and responded to by humans. We will not give consent for your information to be used by third party service providers for the training and development of AI modelling software, or similar purposes.
How we use your personal information
The personal information we collect allows us to ensure we provide a safe, effective service while complying with our legal and regulatory responsibilities.
We also use your personal information for internal purposes such as auditing, data analysis and research so that we can comply with legal and regulatory responsibilities and so that we can ensure our services are continually reviewed for effectiveness and safety.
We may with your explicit consent use your personal information to send information to you regarding our products and services. If you do not want to receive this information, you can opt out at any time by contacting us by phone, email, using our website contact options, or by using the unsubscribe link on our emails.

Fearless Facilitator takes the security of your personal information very seriously.
Fearless Facilitator stores your personal data electronically. We use computer systems with limited access in facilities protected by physical security measures. This includes electronic data stored on third-party systems, and access is limited to Fearless Facilitator employees and designated support staff only. Our electronic data is routinely backed up to prevent damage or loss.
If Fearless Facilitator stores your personal data in hardcopy, we limit access to this data using physical security measures.
When you use some of Fearless Facilitator’s services (for example, our social media pages or forums), the personal information and content you share is visible to other users and can be read, collected, or used by them. Disclosure to Third Parties
Fearless Facilitator may use third parties to store your information in order to utilise technology to provide our services to you in the most efficient and safe way. For example, we may use electronic management software to arrange appointments, which involves storing your information on third party systems.
Any third parties used to store your information can only access the information in a support capacity. Further access is only available to Fearless Facilitator employees and support staff.
It may be necessary – by law, legal process, litigation, and/or requests from public and governmental authorities within or outside your country of residence – for Fearless Facilitator to disclose your personal information. We may also disclose information about you if we determine that for purposes of national security, law enforcement, or other issues of public importance, disclosure is necessary or appropriate.
Additionally, in the event of a reorganisation, merger, or sale, we may transfer any and all personal information we collect to the relevant third party.

Fearless Facilitator endeavours to keep your personal information accurate, complete, and up to date. We will retain your personal information only for as long as is required to provide requested services to you, or as is required by law or regulation.
Access to Personal Information
You are entitled to request a copy of any personal information we hold relating to you as an individual. This is usually provided free of charge, and supplied within 30 days. Requests should be made either in writing, or by email.

If you would like to make a complaint because you believe that we have infringed data protection legislation because of the way that we have handled your personal information (or the personal information of someone who you are acting on behalf of), you have a legal right to complain to us. To submit your complaint please email hello@fearlessfacilitator.co.uk using the subject line “FAO Data Compliance Officer – Notice of Data Complaint”. It may be necessary for us to obtain additional information from you so please ensure that you provide and maintain up-to-date contact information. We appreciate that if you are making a compliant you will wish to receive a prompt response and we are committed to handling your complaint as efficiently as possible. Our aim is to provide a substantive response to your complaint within the first 28 days from the date on which your complaint has been made. However, there is no timeframe set in the data protection legislation by when we must deliver a response to you, as each case will vary in its nature and complexity. Throughout the course of our investigation, we will update you periodically to keep you updated on the progress of the investigation. Once we have concluded our investigation we will respond to your complaint and provide you with our response, “the outcome”. If you are unhappy with the outcome, you can ask us to provide more information or clarification. You have the right to complain directly to the Information Commissioner’s Office (“ICO”). There is no requirement for you to wait for our review and outcome before you complain to the ICO. You are legally entitled to complain to the ICO at any point.
Changes to Our Privacy Statement and Future Processing
This Privacy Statement was last updated in June 2026 and is reviewed routinely, or upon changes to relevant Data Protection Legislation being published. We do not intend to process your personal information except for the reasons stated within this Privacy Notice. We reserve the right to update this Privacy Notice from time to time. Where appropriate, we shall contact you to notify you of any material changes to the Privacy Notice. You should also refer to our website periodically so that you may access and view our updated Privacy Notice. This will ensure that you understand how we are using your personal data and your legal rights around our usage of such personal data.
